“Expression of Interest” (EoI) for Vendors/Suppliers Enlistment in Roster

Kayapalat (KAP) is a youth-led, non-profit organization established in 2022 and registered in Dhanusha District. Working primarily in Madhesh Province and Kathmandu, KAP focuses on empowering young people to engage in democracy, good governance, human rights, climate action, and social justice.
As part of strengthening its operational efficiency, KAP is developing a roster of reliable vendors, individual consultant and suppliers to support its ongoing and upcoming activities across Madhesh Province.
A. General Office Good and Services
- Vehicle Hire ( Madhesh Province)
- Air Ticketing : Domestic arrangements
- Office Supplies Designing and Printing : (Diary, Brochure, Annual Reports, Poster, Notebooks, Leaflets, Sticker, etc.)
- IT Equipment Supplies : (Laptop Printer )
- Stationery and Office supplies : (Pen, Notebooks, Rulers, Markers, Index files A4 Paper, sticky notes, flip chart, stapler pin different size, paper/binder clips etc.)
- General Goods, Groceries & Cleaning Items : (like Tea, Coffee, Sugar, Harpic, Toilet Paper, Paper Towel, Hand Sanitizer, Mask, Disinfectant chemicals)
- Hotel – Accommodation : (Simara, Parsa, Bara, Rautahat, Sarlahi, Mahotari(Bardibas), Dhanusha, Siraha, Saptari and Janakpur)
- Restaurant/Lunchbox Services : (Food and Conference/meeting hall etc.), Simara, Parsa, Bara, Rautahat, Sarlahi, Mahotari, Dhanusha, Siraha, Saptari and Janakpur.
- Individual Consultant : (Expertise relevant to Governance, Democracy, Youth engagement, Training, Documentation and Facilitation and other consultancy services.)
Interested companies, suppliers, individual consultant, vendors experience working with Donor Agencies, I/NGOs, Government in providing services in one or more than one of the above listed services are invited to apply. The minimum required documents are as follows:
- Company registration certificate
- VAT/PAN registration certificate
- Tax clearance certificates for the most recent year
*Important Notice for Vendor Enrolment
- Applications will not be accepted if submitted documents are not valid or renewed up to Fiscal Year 2081/82.
- KAYAPALAT (KAP) is developing a roster of potential vendors/suppliers with proven experience in the above-listed goods/services.
- This is not a request for quotation, but a request for enrolment into the KAP Logistics Vendor Roster.
- All applicants will be subject to a supplier screening and verification process conducted by KAP.
- Preference will be given to suppliers who meet environmental and sustainability standards.
- Please indicate if you are a past supplier or previously associated with KAP. Note that past suppliers must also complete the full eligibility process.
- To prevent or clarify any conflict of interest, kindly inform KAP if you have any personal or professional connection with current KPA staff and Board Members.
- All qualified companies will be included in the roster. KAP will contact relevant suppliers for quotations as needed during 2025 December/2026 December, based on specific goods/service requirements.
